Downloading and reusing files the assistant made Guide

Where the PDFs, spreadsheets, images, and charts your assistant creates are saved, and how to download, reuse, and send them later.

When the assistant creates a deliverable for you — a PDF proposal, an Excel spreadsheet, a generated image, or a chart — it appears right in the conversation, ready to preview and download. This article covers where those files live and how to reuse one you made earlier.

Where generated files appear

Every file the assistant produces shows up inline in the chat, attached to the reply that created it. From there you can preview it and download it to your computer or device.

Generated files are also collected in the conversation's Files in this chat panel, alongside anything you uploaded. This gives you one place to find every document, spreadsheet, image, and chart tied to that conversation, even if it was made several messages ago.

Downloading a file

  1. Find the file in the assistant's reply, or open the Files in this chat panel.
  2. Preview it to confirm it's the right version.
  3. Use the download option to save it to your device.

Once downloaded, the file is a normal document you can open, edit, or share using your usual apps.

Tip: If you want a different format — say a spreadsheet instead of a PDF, or a summary table instead of a chart — just ask. The assistant can regenerate the same content in another format and give you a fresh file to download.

Reusing "the PDF I just made"

You don't need to re-upload a file the assistant already created. Because generated files stay attached to the conversation, you can refer back to them in plain language and the assistant will use the right one.

In the same conversation

Just describe the file naturally in your next message. For example:

  • "Email the proposal PDF you just made to my client."
  • "Take the spreadsheet from earlier and add a totals row."
  • "Attach that invoice to a message and send it through my connected app."

The assistant keeps track of what it produced in the conversation, so a reference like "the PDF I just made" is usually enough. If more than one file could match, it may ask you to clarify which one you mean.

Sending or attaching it elsewhere

You can ask the assistant to send a generated file through your connected apps — for example attaching it to an email or a message. Anything that reaches the outside world shows an Approve card first, so you'll always see what's about to be sent, and to whom, before it happens.

Using a file from an earlier conversation

Files stay with the conversation they were created in. To reuse one from a while ago:

  1. Open the conversation where the file was originally made.
  2. Find it in that chat's Files in this chat panel, then download or preview it.
  3. If you want to keep working on it in a new conversation, download it and attach it to a fresh message.

Attaching the file to a new message lets the assistant read and build on it there, just as it would with any document you upload.

Keeping your files private and organized

Uploaded and generated files are stored securely and kept with the conversation that created them. Keeping related work in the same chat makes files easy to find later, since everything shared or produced in that conversation lives in one panel.

If you're planning to reuse a deliverable often, download a copy to your own device or your usual document storage so you always have it on hand, independent of any single conversation.
