How team seats are billed Guide
How team seats work in Praxivara: each teammate takes a paid seat billed to the workspace owner's card, prorated when you invite and when you make changes.

When you turn a workspace into a team, each teammate you add takes a paid seat. Every seat is billed to the workspace owner's card, so your team can work together under one subscription with one point of billing.
Who pays for seats
Seats always bill to the owner of the workspace. When you invite someone to your workspace, you choose the plan for their seat, and that seat is charged to the card on file for that workspace.
Teammates never pay to join your workspace. Inside your workspace they use the seat plan you assigned them, not a subscription of their own. If a teammate also owns or belongs to other workspaces, those are billed separately and independently.
Each workspace has its own subscription and its own billing. If you run more than one workspace, the seats in each are billed to whoever owns that workspace.
When a seat starts billing
A seat begins billing the moment you send the invite, not only after the teammate accepts. The charge is prorated for the remaining time in your current billing cycle, so you only pay for the portion of the cycle the seat is active.
Until the person accepts, the seat appears as pending on the Team tab. If you sent an invite to the wrong address, you can revoke the pending invite.
To invite a teammate
- Open your workspace and go to the Team tab.
- Select Invite member.
- Enter the teammate's email address.
- Choose the plan for that seat and the billing cycle, monthly or yearly.
- Choose their role, member or team admin.
- Send the invite. The seat appears as pending until they accept.
Only workspace admins can send invites. A plain member cannot invite others.
How proration works when things change
Because billing is prorated, changes to your team are reflected fairly within the cycle rather than charged in full each time.
Adding a seat
When you invite someone partway through a cycle, that seat is prorated for the days remaining in the cycle. From the next cycle onward it bills at its normal rate.
Changing a seat's plan
If you change a teammate's seat to a different plan, the difference is prorated for the rest of the current cycle. The new plan then applies going forward.
Removing a member
When you remove a member, their seat stops. Any pending invite you revoke before it is accepted never becomes a billed seat.
Managing your team's seats
Workspace admins manage seats from the Team tab, where you can review who holds a seat, what plan each seat is on, and which invites are still pending.
- Change a member's role between member and team admin.
- Move a member to a different seat plan.
- Remove a member from the workspace.
- Revoke an invite that hasn't been accepted yet.
Members can also choose to leave a workspace they belong to at any time.
What each role can do with billing
Roles determine who can make changes that affect billing:
| Role | Seat and billing actions |
|---|---|
| Owner | Owns the workspace subscription; all seats bill to their card. Can invite, change, and remove members. |
| Team admin | Can invite teammates, change seat plans and roles, and remove members. |
| Member | Uses their assigned seat. Cannot invite others or change seats. |
A few things to keep in mind
- An invite is tied to the exact email address you sent it to. The teammate must sign in, or sign up, with that same email to accept.
- Sending an invite reserves and bills a seat right away, prorated for the rest of the cycle.
- Each additional workspace carries its own subscription and seats rather than being included for free.
If you need to adjust your team, make the change from the Team tab and the billing on the owner's card updates accordingly.
