Inviting teammates to your workspace Guide
Invite people to your workspace by email, assign each a seat plan and billing cycle, and choose their role.

A workspace becomes a team the moment you invite someone into it. You invite teammates by email, reserve a seat for each person, and choose the role they play once they join. This guide walks through the full flow.
Before you invite
A few things are worth knowing up front so the process goes smoothly:
- Everything in Praxivara — chats, agents, integrations, phone numbers, email addresses and files — lives inside a workspace. Teammates you invite work alongside you inside this workspace.
- Each teammate takes a paid seat that is billed to the workspace owner. Your teammates do not need their own subscription to work in your workspace.
- Only workspace admins can invite. If you are the owner or a team admin, you will see the invite option on the Team tab. Plain members cannot send invites.
Note: Invitees join using the exact email address you send the invite to. It is worth double-checking the address before you send, since the person will need to sign in or sign up with that same email to accept.
Send an invite
To add someone to your team:
- Open your Workspace settings and go to the Team tab.
- Select Invite member.
- Enter the teammate's email address.
- Choose the seat plan for this person and the billing cycle — monthly or yearly.
- Choose their role: Member or Team admin (see the roles section below).
- Send the invite. The teammate receives an email with a link to join.
Once sent, the seat appears on the Team tab marked as pending until the person accepts. If you sent an invite to the wrong address, you can revoke it while it is still pending.
Choosing a seat plan and cycle
Every seat carries its own plan and billing cycle, so you can match each teammate to the capabilities they need. Pick the plan that fits how that person will use Praxivara, and choose whether the seat bills monthly or yearly.
The seat is reserved when you send the invite, not only after the person accepts, so it is best to invite people when you are ready to bring them on. If plans change before someone accepts, you can revoke the pending invite and send a new one.
Choosing a role
The role you assign controls what a teammate can manage inside the workspace.

| Member | Works inside the workspace — chats, agents and connected tools. Members cannot edit workspace settings such as the name, logo or organization details, and cannot manage the team. |
| Team admin | Everything a member can do, plus managing the workspace and its team — including inviting more people and editing workspace settings. |
Choose Team admin for people you trust to help run the workspace, and Member for everyone else. You can adjust a person's role later from the Team tab.
What happens after you invite
Your invitee receives an email with a join link. Opening it takes them to a page that shows the workspace name, the email they were invited as, their seat plan and their role. To accept, they sign in — or create a Praxivara account with the invited email — and confirm.
Once they accept, they are dropped straight into your workspace and the pending seat becomes active. They can switch between your workspace and any others they belong to from the account menu in the sidebar.
Common issues
"That person is already invited or a member"
The email you entered already has a pending invite or an active seat in this workspace. Check the Team tab for their existing entry.
The invite went to the wrong address
While the invite is still pending, revoke it on the Team tab and send a fresh invite to the correct email.
"This invite isn't valid"
An invite link is meant to be used once and can expire. If your teammate sees this, send them a new invite from the Team tab.
"This invite was sent to X but you're signed in as Y"
Invites are tied to a specific email address. Ask your teammate to sign out and sign in (or sign up) with the exact address the invite was sent to.
