Invite problems (wrong email, expired, already a member) Troubleshooting

Fix the most common team invite issues: a mismatched sign-in email, an expired or used link, and duplicate invites.

Most team invite issues come down to three things: the invitee signed in with the wrong email, the join link has expired or already been used, or the email address has already been invited. This guide walks through each one and how to resolve it.

"This invite was sent to X but you're signed in as Y"

An invite is tied to the exact email address it was sent to. If you open the join link while signed in to Praxivara with a different email, you'll see a message that the invite was sent to one address but you're signed in as another.

How to fix it

  1. Check the join page — it shows the email the invite was sent to.
  2. Sign out of your current Praxivara account.
  3. Sign in (or create an account) using that exact email address.
  4. Open the invite link again and select Accept invitation.

Tip: If you'd rather join with a different email than the one that was invited, ask the workspace admin to revoke the original invite and send a new one to the address you want to use.

"This invite isn't valid" — expired or already used

A join link is meant to be used once. After it's accepted, or if too much time has passed, it stops working and shows that the invite is no longer valid.

How to fix it

  1. If you've already accepted, you don't need the link again. Open Praxivara, click the account menu at the bottom of the sidebar, and switch into the workspace from your Workspaces list.
  2. If you never accepted and the link has expired, contact the workspace admin and ask them to send a fresh invite.

If you're the admin resending an invite:

  1. Open the workspace's Team tab.
  2. Revoke the old pending invite if it's still listed.
  3. Select Invite member, re-enter the email, and send a new invite.

"That person is already invited or a member"

Each email can hold one seat in a workspace at a time. If you try to invite an address that already has a pending invite or is already on the team, Praxivara blocks the duplicate.

How to fix it

  • Already a member: No action needed — they're already on the team. Check the Team tab to confirm their role.
  • Pending invite still open: The person just needs to accept the invite they already received. Ask them to check their inbox (including spam) for the original email.
  • Sent to the wrong address: Revoke the pending invite on the Team tab, then send a new one to the correct email.

The invite email never arrived

If the person you invited says no email came through, work through these checks:

  1. On the Team tab, confirm the address shows as a pending seat — this means the invite was sent.
  2. Verify the email address is spelled correctly. If it's wrong, revoke the pending invite and re-send to the right address.
  3. Ask the invitee to check spam and other inbox folders.

Note: Only workspace admins (the owner or a team admin) can invite, revoke, or resend invites. If you're a plain member, ask an admin to make the change.

What happens after the address is corrected

Once the invitee accepts with the right email, they're added to your team and dropped straight into the workspace. From then on they can switch into it anytime from the account menu in the sidebar. Their access uses the seat and role you assigned, and billing for the seat stays on the workspace owner's account.
