Praxivara Mail lets you allocate real email addresses on the Praxivara Mail domain and work them from a full inbox inside the app. Before you can send or receive, you choose a handle, give it a sender name, and confirm the address is available. This guide walks through each step.

Before you begin

Each address you allocate becomes a live inbox that you, your assistant, and your agents can use to send, receive, reply, and forward. The number of addresses you can allocate depends on your plan, so higher plans allow more inboxes. If you have already reached your plan's limit, you'll need to release an existing address or move to a plan that includes more before allocating a new one.

Choosing an available handle

The handle is the part of the address that comes before the domain. Choose something clear and professional that reflects how the inbox will be used.

  1. Open Praxivara Mail from the Channels area.
  2. Start allocating a new address.
  3. Enter the handle you want. The full address is formed by combining your handle with the Praxivara Mail domain.

A few pointers for picking a handle:

  • Use a purpose-based name for shared or agent-run inboxes, such as sales, support, or billing.
  • Keep it short and easy to read aloud and to type.
  • Avoid spaces and special characters; stick to letters, numbers, and simple separators.

Checking availability

Each handle on the Praxivara Mail domain must be unique, so an address that's already in use can't be allocated again.

  1. Type your preferred handle in the allocation field.
  2. Praxivara checks whether the resulting address is free.
  3. If it's taken, try a variation until you find one that's available.

Tip: If your first choice is unavailable, add a short qualifier that keeps the address meaningful, such as a team name or region, rather than appending random numbers. It's easier for people to remember and trust.

Setting a sender name

The sender name is the friendly display name recipients see in their inbox alongside the address. It's what appears in the "From" line of the emails you send.

  1. Enter the sender name you'd like this address to use, for example your company name or the team responsible for the inbox.
  2. Confirm it reads well; this is the name recipients associate with your messages.

Choose a sender name that matches how you want to be recognized. A branded name like your company or department reads as more trustworthy than a generic label, and it helps recipients place your message at a glance.

Allocating the address

Once you have an available handle and a sender name you're happy with, confirm to allocate the address. Praxivara creates the inbox and makes it ready to use.

After allocation you can:

  • Send, receive, reply to, and forward email from the inbox inside the app.
  • Organize messages with folders and labels, and search across the mailbox.
  • Send and receive attachments.
  • Have your assistant and agents work the mailbox alongside you.
  • Forward your existing inbox into it if you'd like everything in one place.

Changing or removing an address later

You can allocate additional addresses at any time, up to your plan's limit. If you no longer need an inbox, you can release it to free up an allocation slot. Keep in mind that agents or workflows relying on that address will no longer be able to send or receive from it once it's released, so reassign anything important first.

Note: Pick your handle thoughtfully the first time. Because it's the public identity of the inbox, changing it later means people have to learn a new address, so it's worth getting right before you share it.
