Praxivara Mail gives you and your agents real email addresses with a full inbox inside the app. This guide covers three of the most common issues you may run into: a handle that's already taken, mail that isn't configured yet, and attachments that won't send because they're too large.
The handle you want is already taken
Each Praxivara Mail address is unique, so a handle that someone has already reserved can't be allocated a second time. If you see a "handle taken" or "not available" message when creating an address, the name is simply in use.
How to choose an available handle
- Open Praxivara Mail and start creating a new address.
- Type the handle you want. If it's unavailable, you'll be told before you can continue.
- Try a close variation — add your name, team, role, or a short word (for example a department or function) to make it unique.
- Confirm once the handle shows as available.
Tip: Pick a handle you'll be comfortable sharing publicly and that reflects how you want replies to look. Short, clear handles tend to be easier for your contacts to recognize.
If you've reached your plan's limit
The number of addresses you can allocate depends on your plan. If you can't create a new address at all — rather than just the specific handle being taken — you may have reached the number included with your plan. Remove an address you no longer use, or move to a higher plan to allocate more.
Mail isn't configured yet
If you try to send, reply, or forward and see a message that mail isn't set up, it usually means you don't yet have an active Praxivara Mail address, or the address you're trying to use hasn't finished being allocated.
Set up your inbox
- Open Praxivara Mail.
- Allocate at least one address by choosing an available handle and confirming it.
- Wait for the address to show as active. Once it's ready, you'll have a full inbox where you can send, receive, reply, and forward.
- Send a quick test message to yourself or a colleague to confirm everything is working.
Forwarding your existing inbox
If you want messages from an inbox you already use to arrive in Praxivara Mail, you can forward that inbox to your new address. Set up forwarding from within your existing email provider, pointing it at your Praxivara Mail address. Give it a moment, then send a test to confirm messages arrive.
Letting your assistant and agents use the mailbox
Your assistant and your agents can work the mailbox alongside you — sending, replying, and organizing messages. If an agent reports that it can't access mail, confirm that an active address exists first, then check that the agent is set up to use it.
Note: Availability of Praxivara Mail can depend on your plan and on what the platform has enabled. If you don't see mail as an option at all, it may not be included on your current plan.
An attachment is too large to send
Like any email service, Praxivara Mail limits how large a single message can be, including its attachments. If a message won't send because an attachment is too large, you have a few reliable options.
Reduce the size
- Compress the file. Zip large files, or export documents and images at a smaller size or lower resolution before attaching them.
- Split it up. Send several smaller messages instead of one large one, or attach fewer files per email.
- Trim what you attach. Remove anything the recipient doesn't strictly need.
Send a link instead
For very large files, the most dependable approach is to upload the file to a storage or file-sharing service you already use and paste a link into the email. This keeps the message small and lets your recipient download the file at their convenience.
Check the file before resending
- Confirm the total size of everything you're attaching, not just a single file.
- Apply one of the options above to bring it under the limit.
- Reattach and send again.
